Privacy Policy

This policy explains how the Robot Rights Association handles personal information and access information in connection with its public websites and enquiries.

1. Scope

This policy applies to the official websites operated by the Robot Rights Association at robotrights.jp and robot-rights.jp, and to enquiries sent to the Association through the contact details published on those websites.

2. Information we may receive

When you contact the Association by email, we may receive information that you choose to provide, including your name, email address, affiliation, message content and any attachments.

For website operation, standard server or hosting logs may record technical information such as IP address, requested URL, date and time of access, user-agent information, referrer information, and security or error events.

As of 7 October 2026, these websites do not themselves use analytics or advertising cookies, behavioural advertising tools, or third-party tracking scripts. If this changes materially, this policy will be updated.

3. Purposes of use

Information may be used for purposes reasonably connected with:

  • responding to enquiries, corrections, media requests, research or cooperation proposals;
  • maintaining appropriate records of correspondence and Association activities;
  • operating, securing, troubleshooting and improving the websites and related infrastructure; and
  • preventing abuse, investigating security incidents and complying with applicable legal obligations.

Personal information will not be used for purposes materially unrelated to those purposes without an appropriate basis.

4. Sharing and service providers

The Association does not sell personal information. Personal information may be disclosed where the person concerned has consented, where disclosure is required or permitted by applicable law, or where service providers such as hosting, email or security providers need limited access to provide services to the Association.

Where service providers handle information on the Association's behalf, the Association seeks to limit the information and access to what is reasonably necessary for the relevant service.

5. Retention and security

The Association seeks to retain personal information only for as long as reasonably necessary for the relevant purpose, legal or operational requirements, dispute handling, or security. Technical logs may be retained in accordance with the configuration and retention practices of the relevant infrastructure provider.

The Association takes reasonable organisational and technical measures appropriate to the nature of the information it handles. No method of transmission or storage can guarantee absolute security.

6. Requests and enquiries

Requests concerning access, correction, deletion or other handling of personal information will be considered in accordance with applicable law and the circumstances of the request.

Privacy enquiries may be sent to info@robotrights.jp.

7. Changes to this policy

This policy may be updated when the Association's activities, website functions, service providers or applicable requirements change. The current version will be published on this page.
